How to Start an Air Conditioning Business in India

An air conditioning business can range from a small home-based AC service operation to a full HVAC enterprise handling sales, installation, annual maintenance contracts, commercial systems and large projects. The right investment, registrations and staffing depend on the services you choose and the scale at which you operate.

Demand for cooling is driven by homes, offices, shops, hotels, hospitals, restaurants, data and equipment rooms, institutions and industrial premises. Modern air conditioners may provide cooling, dehumidification and, in suitable models, heat-pump heating. For a new business, service quality, safe installation, trained technicians, genuine spares and dependable after-sales support are usually more important than maintaining an expensive showroom.

Air Conditioning Business Models

You can begin with one activity and add other revenue streams as the customer base grows. Common models include AC servicing and preventive maintenance; installation and commissioning; repair and replacement of components; refrigerant leak testing and charging by trained personnel; sale of room air conditioners and accessories; annual maintenance contracts (AMC); commercial HVAC maintenance; ducting, ventilation and insulation work; and turnkey HVAC projects.

Residential split and window AC service generally requires less capital than a dealership or commercial HVAC contracting business. Large chilled-water plants, VRF/VRV systems and central air-conditioning projects require experienced engineering staff, stronger working capital, project management and more sophisticated testing equipment.

How Much Capital Is Required?

There is no statutory minimum capital for starting an ordinary AC service business. Actual cost depends on location, whether premises and a vehicle are rented or owned, technician strength, inventory, dealership deposits and the size of projects accepted. Keep a separate working-capital reserve for salaries, rent, fuel, spare parts, customer credit periods, taxes, insurance and project purchases. Avoid overstocking compressors, PCBs and model-specific parts until demand is established.

Choose the Legal Form of Business

Sole Proprietorship

A sole proprietorship is suitable for a single owner starting a small service, repair or installation operation. It is simple to operate but does not create a separate limited-liability entity. Registrations are obtained in the proprietor's name or trade name as applicable, and the proprietor remains personally responsible for business liabilities.

Partnership Firm

Two or more persons may carry on business in partnership under the Indian Partnership Act, 1932. A written partnership deed should clearly cover capital, profit sharing, authority, duties, admission or retirement and dispute resolution. Registration of a firm is dealt with in sections 58 and 59; section 69 imposes important restrictions on enforcement of contractual rights by or on behalf of an unregistered firm, subject to the Act and applicable State amendments.

Limited Liability Partnership

An LLP combines a separate legal entity with limited liability and partnership-style management. It is often suitable where two or more professionals or promoters want a formal structure without using a company. Incorporation and statutory filings are handled through the Ministry of Corporate Affairs.

Private Limited Company

Under section 3 of the Companies Act, 2013, a private company may be formed by two or more persons for a lawful purpose. Section 2(68) defines a private company, including restrictions in its articles on transfer of shares and the statutory limit on members. A company is a separate legal entity and requires continuing corporate compliance.

Public Limited Company

Section 3 of the Companies Act, 2013 provides for formation of a public company by seven or more persons. This form is generally unnecessary for a small HVAC startup and is more appropriate where the scale, ownership and capital-raising requirements justify the additional compliance.

Registrations and Licences in India

The exact approvals depend on the State, municipality, premises and activities. An AC business should assess the following before commencement:

Licences are activity-specific. A service technician, retailer, importer, manufacturer, refurbisher or e-waste recycler may have very different obligations. Verify the exact State and local requirements before opening a workshop or accepting regulated work.

A mobile service business can begin from a small office or compliant home-office where local rules permit. A service centre should provide secure tool and spare storage, safe cylinder handling, ventilation, electrical safety and space for receiving equipment. A retail dealership may also require display and inventory space.

A small operation may use one qualified technician with an assistant. As the business expands, typical roles include HVAC technicians, installation helpers, service coordinator, sales staff, store/spares controller, accountant and, for commercial projects, HVAC engineers, supervisors and project managers. Refrigerant and electrical work should be assigned only to persons with appropriate training and competence.

The Bureau of Energy Efficiency Standards and Labelling programme lists room air conditioners, including fixed-speed and variable-speed categories, among mandatory appliances. Businesses selling covered products should source compliant products carrying the required label and should not alter or misrepresent energy-efficiency information.

Electrical safety

AC installation involves high electrical loads, earthing and protective devices. Follow manufacturer instructions and applicable electricity and safety rules. Fixed wiring or other work requiring an authorised electrical contractor or licence under State rules should be carried out accordingly.

Refrigerants and ozone protection

Technicians should prevent deliberate refrigerant release, use refrigerants compatible with the equipment, detect and repair leaks, and recover refrigerant where technically required. India's environmental framework includes the Ozone Depleting Substances (Regulation and Control) Rules, 2000, as amended. Businesses importing, manufacturing, consuming or trading regulated substances must check whether specific controls or registrations apply.

E-waste

The E-Waste (Management) Rules, 2022, effective from 1 April 2023 and subsequently amended, regulate specified manufacturers, producers, refurbishers and recyclers of covered electrical and electronic equipment. An AC service business should not casually dispose of electronic control boards, displays or other covered electronic waste with general waste. Where the rules apply, use the prescribed channel and authorised/registered entities.

Bank Account and Records

Banks perform KYC and entity verification under current regulatory requirements. Commonly requested records vary by structure and may include PAN, proof of constitution or incorporation, registered office/business address, identity and address documents of authorised persons, partnership deed or constitutional documents, GST/Udyam or other business registration where applicable, and board/partner authorisation. Confirm the current checklist directly with the chosen bank.

Maintain proper quotations, work orders, invoices, purchase bills, warranty records, serial/model details, AMC schedules, technician job sheets, inventory records and tax accounts. Commercial project businesses should also document scope, drawings, commissioning results, handover records and customer approvals.

Finding Customers and Growing the Business

Build local visibility around dependable service rather than only price. Maintain a professional website and business listing, seek genuine customer reviews, display clear contact and service-area information, and build relationships with housing societies, offices, shops, builders, facility managers and property managers. Seasonal maintenance campaigns before peak summer can generate repeat work.

Annual maintenance contracts can create recurring revenue, but the contract should clearly state the number of visits, breakdown coverage, excluded parts, response times, refrigerant policy and payment terms. For larger projects, price labour, copper piping, insulation, cabling, drainage, supports, transport, taxes, testing and contingencies separately enough to protect margins.
